The Art from the Heart Board of Directors consists of nine people, volunteering their time and skills to provide a cohesive and active administration of organizational goals. The board meets once a month for Executive and Committee reports, and members are expected to perform tasks in their area of responsibility to support the Programming and Events of the Organization.

Policy Committee: Chaired by Becky, with Rick
Vision development, Bylaw review, Charitable status, Hiring

Fund Development Committee: Chaired by Megan, with Cindy, and Becky
Planning, Grant writing, Maintaining database of current and past donors

Community Outreach Committee: Chaired by Jamie, with Natalie
Youth involvement, Showcasing, Promotion at community events, Communication (website/FB/email campaigns)

Board member position responsibilities are described below. All roles require a two-year commitment. Members may elect to continue in their current role, or move into a different position after their two-year term is completed.

Chair

  • Plan and lead board meetings; establish agendas and track follow-up on
    action items from meeting minutes
  • Liase with Executive, Directors, Committee Chairs, and Program Coordinator
  • Communicate with media and funding agencies
  • Maintain communications via Email
  • Co-sign cheques
  • Assist in organizing events as needed

Secretary Treasurer

  • Record all transactions in Quickbooks
  • Bank card holder and co-signer of cheques
  • Deposit cheques and provide receipts as needed
  • Prepare and issue monthly statements to the board
  • Work with Program Coordinator on budgets for events
  • Take minutes at board meetings and publish in a timely manner
  • Maintain up-to-date contact information for current board members

Fundraising

  • Liaise with community organizations, and Program/Show Coordinator
  • Develop fundraising plan, assist with grant writing
  • Contact potential public and private donors
  • Maintain a database of current and past donors
  • Explore new funding and revenue sources for sustainability
  • Assist in organizing fundraising events as needed

Communications

  • Liaise with board executive, committee chairs, and Program/Show Coordinator
  • Update website and Facebook pages
  • Assist with writing and editing advertising, articles, and proposals as needed
  • Maintain online photo gallery and database
  • Assist in graphic design for events as needed

Volunteer & Events

  • Maintain current list of volunteers in┬áliaison with Program Coordinator
  • Communicate volunteer opportunities in advance of events
  • Provide orientation and training to new volunteers
  • Track and record individual volunteer hours
  • Assist in organizing events as needed
